Overview
Vine bot forms can simplify the document download process on your site. You can follow this step-by-step guide:
- Design Individual emails: Start by creating distinct email templates for each downloadable file. These emails serve as templates that can be personalized with visitor details, including their name. Make sure they include visually attractive elements, such as a download button.
- Set up a bot form: Create a bot form to assist visitors in selecting files for download. The form identifies visitors or prompts anonymous visitors to register, guides them in choosing files, and triggers a dedicated automation rule upon form submission.
- Create an automation rule: Build an automation rule that activates when the form is submitted. This rule personalizes emails by including the visitor's name and sends specific emails based on the chosen file.
Creating Emails with Download Links
For each document available for download, create a separate email containing a link to the respective file. The automation rule will automatically send these emails to visitors who have been tagged for each file download.

Creating a Bot Form

Here are step-by-step instructions that you can follow to create a bot form that will guide visitors in choosing files:
- Step 1: Displayed only to identified persons. Greet the visitor by name using the Person Name ({{name}}) tag, which will be replaced by the visitor's real name. The Reset Identity ("click here") tag allows the visitor to reset their name and register again if, for some reason, the identification has been incorrect.
- Step 2: Displayed only to anonymous persons. Greet the visitors and ask them to register.
- Steps 3-5: Displayed to anonymous visitors, these steps allow visitors to register by providing their first and last names and email address:

Steps 6 and 7: Both identified and anonymous visitors are asked to select a document for download.
In step 6, we inform the visitor what to do next:
In step 7, the visitor selects one document by clicking a corresponding button:
Depending on the chosen document, the visitor is assigned a corresponding tag. If needed, you can create a tag by clicking Create.
- Steps 8 and 9: Ask if visitors want to select more documents and direct those who click "Yes" back to step 7 to select one more document. This allows visitors to select as many documents as needed until selecting "No" on this step.
- Step 10: Add the Submit action after the visitor selected "No" on Step 9. The Submit action sends all collected data to the Vine server for processing.
- Step 11: The final step where we close the form.
Creating an Automation Rule for Download Requests
This automation triggers when the visitor submits the bot form and sends emails with download links for the selected documents. After sending the corresponding email, we clear the associated tag. This ensures that users receive only the documents they requested, even if they use the bot form later to request additional files.
